Quality Management Dimension

Software based system for integrated management of quality processes.

Baseline / problem

KEK Dimitra, in its efforts to continuously provide quality services to its trainees, implements a certified quality management system based on ISO 9001:2008. The quality management system along with national legislation requires from the centre to keep different kind of records/ documents and to develop relevant reports at frequent time intervals, thus increasing the administrative work of centre’s staff and creating problems in the coordination between different departments.

Good practice: (Measures, instruments, criteria, indicators)

Development of a software based system for integrated management of all centre’s processes. This system allows the centre to perform the following activities:

  • Financial management
  • Project management
    • Project data
    • Budget and expenses
    • Payments per partner
    • Distribution of expenses per categories
  • Training management
    • Trainers data
    • Trainees data
    • Collaborating companies for apprenticeships data
    • Training schedule & attendances management
    • Training sites management
    • Reporting according to ESDEK rules
    • Trainers, trainees and companies payrolls
  • Seminars evaluation and reporting
  • Quality management
  • Payroll management
  • Reporting
  • Statistical analysis

The software was chosen based on the following criteria:

  • Customisation according to the centre’s needs
  • Integration with other systems already in place (e.g. accounting system)
  • Easiness of use
  • Integrity and relevance of records
  • Highly secure environment
  • Use of widely recognised reporting tools
  • Compatibility with future changes of national legislation or accounting system

Through the implementation of such an integrated management system the centre managed:

  • Reduce administration cost
  • Produce timely and accurate reports
  • Frequent measurement of trainees satisfaction
  • Frequent evaluation of suppliers
  • Improve internal processes (e.g. introduction of corrective actions)
