Description of good practice

Title: Course evaluation

Process:

The goal is to verify and assure the work of the adult education center. Feedback is collected from participants and lecturers. All program areas of the adult education center are concerned – per term a subset for evaluation is decided upon out of all activities taking place.

The decision about the courses to be evaluated is made once per term for the coming term by the enlarged HPM (full-time pedagogic staff) round. Parameters for the decision are e.g. criticism from the participants and lecturers, experiences from the previous semester, suspected critical points from the side of the program responsible, check-up of the learning places (e.g. schools, gyms, own rooms). The extent of the evaluation arises from the defined evaluation emphasis (e.g. activities of new lecturers, all weekend activities or chosen program areas). The lecturers receive information on which activities will be evaluated as the fee agreements are distributed.

The lecturers receive the questionnaires for the participants before or during the activities and collect the filled in forms during the course. The responsible persons (HPM) evaluate the answers concerning necessary changes. For a statistical analysis the questionnaires are entered on computer by the network administrator and analysed after agreed criteria. The evaluation takes place for an autumn term and the following spring term after complete delivery of all evaluation questionnaires of the spring term.

The program area leaders present these results in the HPM-round. There they are discussed, consequences taken and decided upon. This is documented in the minutes of the meeting.

Responsible:

The decisions to the questionnaire making, evaluation extent, delivery of questionnaires, quantitative analysis and to the consequences are taken by the chief officer. Responsible for the realization are the HPM (full-time pedagogic staff), in cooperation with the administration manager concerning evaluation extent and consequences, with the network administrator and administration staff concerning the quantitative analysis of the questionnaires, with the lecturers concerning the distribution of the questionnaires and consequences and with the participants concerning the filling in of the questionnaires. The realization of the distribution of the questionnaires and the qualitative analysis lies also by the network administrator and the administrative staff.

Documentation:

  • Questionnaires for participants and lecturers
  • Excel charts and summaries per semester
  • Minutes of the HPM meetings with decisions to measures
  • Process instruction “course evaluation”

Evaluation and Review:

The responsible HPM (full-time pedagogical staff) inspect the questionnaires and evaluate them concerning necessary measures to be taken. The realization of this follows through the HPM in the specific areas.

The program area leaders present the evaluation per term in the HPM meeting. There they are discussed, consequences considered and decided upon. This is captured in the minutes of the meeting. Realisation of the measures and following discussion are agreed upon in the HPM meeting.

Examination of the process is made in internal audits. The adult education center is subject to the city QM-system. The quality of the flow of work is defined in process instructions, the adherence of which is controlled in yearly audits.

Examination of the process is also made in external audits (yearly) in the frame of the AZWV certification through the certifier DQS.
